Executive Assistant, Chancellor's Office

Role Summary:

Executive Assistant is an administrative position managing the office of the Chancellor and serving as the liaison between his office and the various constituents of the University. The primary responsibility is to ensure that there is adequate coverage of the office on various aspects at all times while managing administrative and strategic priorities.  These need to be professionally project managed through effective coordination, communication and execution in a timely & efficient way.

Responsibilities: 

  • Be an integral team member of the Chancellor’s Office in providing assistance and support in executing, managing, successfully implementing and ensuring the completion of the University wide strategic projects, new initiatives and operational activities.

     

  • Provides confidential administrative support to Chancellor including but not limited to preparation of correspondence, attending to calls, organising the calendar, liaising with internal & external stakeholders especially board members etc.

     

  • Manage & review filing both electronic and paper files, manage office systems, prepare presentations, minutes of meetings and reports under the guidance of Chancellor.

     

  • Make arrangements for appointments, meeting and coordinate for the same from end to end.

     

  • Taking briefs and directions from Chancellor to manage his priorities and executing efficient and effective service delivery.

     

  • Organize travel and prepare travel itineraries, and related logistics.

     

  • Able to plan, organize and manage events.

     

  • Relieves the Chancellor of operational details by planning and coordinating the implementation of academic or administrative policies and decisions.

     

  • Exercises initiative and independent judgment in the daily activities of the office, and manages the staff in the office of the Chancellor.

     

  • Safeguards the confidentiality of University administration by exercising tact and discretion in communicating information to faculty, students, staff, and the various publics served by the University and in handling administrative records, files, and similar confidential items.

     

  • Providing ongoing analyses of institutional planning efforts and conducting or overseeing special initiatives as needed to ensure that the Chancellor’s objectives and the University’s priorities are administered at the highest level with timely and accurate completion.

Senior Manager/Manager, Admissions and Outreach

Reporting to: Director, Admissions and Outreach

Location: Central, East, South of India 

Positions: 1 each in each region

Role Summary:

The role holder in collaboration with the Director, plan, manage and execute processing of the applications for all the programmes across the University, implement admissions operations policies with the highest degree of integrity, while delivering an empathetic, responsive student experience. The position offers the opportunity to work with a highly collaborative team with a wide array of responsibilities in a busy, academic environment.

Responsibilities: 

  • Manage a merit-based evaluation process with absolute integrity and rigour to recruit students for all Programmes across the board in line with the objectives of the University, and act as a link between students, admissions operations, and key academic offices
  • Manage the review of applications, including evaluation of components such as academic grades, Statement of Purpose, Personal Interactions and other components of the admissions as defined from time to time

  • Coordinate with Office of Student Housing and residential life to facilitate outstation students 
  • Coordinate with the Programme Offices, Office of Dean of Students and the Office of the Registrar to ensure a seamless transition into the University for incoming students 
  • Monitor and report on achievement of service objectives and adherence to service standards.
  • Collect and maintain data on student scholarships, scholarship requests and allocation, and other additional supporting data.

Key Skills:

  • Experience in admissions at a college or university is required
  • Requires strong interpersonal, motivation and influencing skills.
  • Ability and willingness to work in a high-pressure environment interacting with students, public, university faculty/administration. 
  • Experience using a Customer Relationship Management (CRM) solution or Admission tools is preferred.

The role holder will plan, manage and execute all aspects of conducting a highly professional outreach program for all the schools of Sai University in coordination with Director, Admissions of the University building and leveraging the network. He/she should possess and develop strong relationships with schools, coaching centres, engage with students, school counsellors, school principals, parents, make them aware of all the programmes of University’s offerings and encourage them to take admissions.

Role Summary:

This is an administration position to manage the office of the Vice Chancellor in collaboration with the other team members of the office, serving as the administrative and strategic liaison between the office and the rest of the constituents of the University. The primary responsibility is to ensure that the planning efforts, the Vice Chancellor’s priorities including but not limited to strategic and operational management initiatives are communicated, well-coordinated, followed-up and timely and effectively implemented.

Responsibilities: 

  • Be an integral Team member of the Vice Chancellor’s Office managing the day-to-day operation of the Office. 
  • Ensures that there is adequate coverage of Office at all times. Role Summary:

The incumbent has the primary responsibility to handle the quantity surveying, billing, BBS, rate analysis, costing, and quantity estimation and working expertise of large construction projects. Incumbent has the additional responsibility to focus on daily construction management in coordination with various contractors for final closure and commissioning of the project.

  • Preparing Schedule of quantity, measurement sheets & following up with internal/external stake holders regarding drawings, design, etc.,
  • Preparation of bar bending schedule and check the shuttering and reinforcement detail in the site as per drawing.
  • To verify the contract bills against the actual.
  • Creating a report for materials purchased versus materials consumed. In addition, the materials used at in the sites are being reconciled.
  • To execute the construction-related scope of work and commissioning the facilities on-site in compliance with the approved project schedule and project specifications.
  • To coordinate with labour and workers in carrying out tasks at the project site.
  • Estimation of necessary materials, timely materials requisition initiation, timely maintenance of purchase orders, follow-up till delivery, and material management.
  • Monitor and report to the Director, projects the details, including progress, risks and opportunities in a timely manner.

Role Summary:

The role holder in collaboration with the Controller of Examination (COE) will be engaged in ensuring all arrangements and related actions necessary for holding examinations and organizing the declaration of results as well as the allied activities as per the University norms.

Responsibilities: 

  • To manage the examination calendar and notify the COE in advance
  • To organize the assessment test to get the performance of the students at the examinations or any other test properly and to process and publish their results timely/ as and when required.
  • Has a higher responsibility to print the exam question papers
  • To notify the students in case of any changes in the examination.
  • The role holder has the important responsibility to postpone or cancel examinations, in part or in whole, in the event of malpractices or if the circumstances so warrant, and take disciplinary action or initiate any civil or criminal proceedings against any person or a group of persons or a college or an institution alleged to have committed malpractices.
  • to take necessary disciplinary action against the students, paper setters, examiners, moderators, or any other persons connected with examinations and found guilty of malpractices in relation to the examinations

In addition, the role holder has the responsibility to manage/coordinate the preparatory examination work and examination schedule generation as follows

 

  • To prepare theory/ lab examination timetable and printing and timely issuance of hall ticket
  • To coordinate exam room/lab and seat arrangements and also to prepare exam attendance sheets. 
  • Preparation and display of final result notification (s) and sending the grade reports to students.
  • Arrangement for the timely issuance/provision of the examination material, instructing the supervisory staff, and holding their meetings as and when required
  • Post the exam to follow up with the internal and external examiner to record the marks
  • Collaboration with COE to identify the invigilator and send the invitation to the internal/ external invigilators 
  • To distribute degrees/ transcript certificates to students

Location: Sai University-Main Campus, Paiyanur, Chennai

Role Summary:

The incumbent will be responsible for the implementation, operation and management of Sai University’s information technology systems, end-user computing, networking and connectivity assets. The individual will be expected to maximize the utilization and effectiveness of university operations while optimizing resources, and ensure that university’s IT assets and investments deliver high usability, uptime and productivity to all institutional stakeholders.

Responsibilities: 

  • Design and implement entire IT Infrastructures network at Sai University.
  • Evaluate and assist in the selection and procurement of appropriate technology solutions to advance the technology  posture of the university.
  •  Work with supervisor in managing IT budget and report on expenditure.
  • Implement, and enforce policies and standards relating to the operation and performance of the university’s IT
    systems and services for hosting, cloud, networking, collaboration, endpoint computing, network security,
     audio-visual services, and mobility services.
  • Provide effective support in the deployment, management and operation of various enterprise services, including
     ERP, CRM, student information systems, portals and other enterprise applications
  •  Ensure institutional technology purchases are requested and implemented within set guidelines to ensure the         advancement of operational systems, applications, and services. Identify the need for upgrades, configuration
    changes or new systems, as and when required.
  • Manage the deployment, implementation and operation of all IT projects, and ensure that they are delivered to
    required standards and on time, while following recommended best practices
  • Manage network and data center operational activities, including upgrades and expansions, patches and security,
    and ensure system and connectivity uptime. Ensure appropriate documentation of IT hardware, software licenses
    and other assets is maintained.
  •  Ensure effective procurement and management of cloud and managed service offerings, and services from other IT
    service providers. Maintain relationships with vendors, and assist in creating cost-efficient contracts
  • Review and monitor all SLA’s and contracts relevant to IT, focusing on accuracy, budget constraints and security.
    Ensure high availability of all critical services like networking, communication and collaboration tools, teachin
    systems and application software.
  • Ensure that institutional data is managed, archived, and stored securely in both local and offsite repositories. This includes data at rest as well as data in transit.
  • Ensure effective mitigation of cybersecurity risks across all managed systems, applications and services, whether
    on-premise, off premise or on the cloud.
  • Perform disasters recovery operation and data backups when required.
  • Install, Configure and Maintain storages such as WD NAS, Netgear NAS, Server Storage and Storage for surveillance
    systems & Multimedia etc.
  • Install and configure video conferencing systems, biometric and security cameras (CCTV)
  • Manage PRI Phone Lines and EPA-BX & IPA-BX Devices for internal and external.
  • Coordinate and conduct IT training for all end users as per the requirements
  • Effectively manage the IT help desk and user support services

 

Preferred Qualifications :

  • Proven experience as an IT associate or similar role
  • 5 to 7 years of relevant experience in an IT environment, preferably in an educational or research institution, or a large corporate organization (500+ users)
  • Good verbal and written communication skills, and ability to effectively interact with diverse groups of individuals (faculty, staff and students)
  • Good analytical, planning and problem-solving abilities; must have aptitude for learning new technical skills quickly.
  • Good awareness and understanding of new and emerging technologies, and their potential application and utility in higher education
  • Understanding of contemporary and latest standards used in the field of IT operations and cyber security (e.g. ISO 9000, ISO 27000, etc.)
  • Experience with budget planning and technology procurement.
  • Deep knowledge of computing infrastructure (hardware, software, network), data center operations, disaster recovery operations and business continuity planning
  • Experience in providing support to end users on a variety of platforms (Linux, MS Windows, MacOS, Android and IOS)
  • Knowledge and experience in enterprise applications and technology solutions appropriate for the higher education setting
  • Good knowledge of applicable data security/privacy practices and laws
  • Bachelor’s or Master’s Degree in computer science/computer applications; or engineering degree in computers, information technology, electronics or telecom; or a related field
